Sorted is a Cape Town business that provides an invoicing and quoting service delivered entirely through WhatsApp. Our service allows small business owners, freelancers, and tradespeople to create professional invoices and quotes by sending a voice note or text message.

For the purposes of this policy, "Sorted", "we", "us" and "our" refers to the operator of sorted.africa and the Sorted WhatsApp service. If you have questions about this policy, you can reach us at the contact details in section 10.

We collect only what is necessary to provide the service. This includes:

• Your WhatsApp phone number, used to identify your account and deliver invoices to you
• Your name and business details, which you provide during onboarding and which appear on your invoices
• Your business logo, if you choose to upload one
• The content of messages you send to our WhatsApp number, including voice notes, to generate your invoices and quotes
• Invoice and quote records — the documents we generate on your behalf and the details they contain
• Credit and transaction records, including bundle purchases and credit balances
• Basic usage data, including which features you use and when, to help us improve the service

We do not collect payment card details directly. Any payment processing is handled by our third-party payment provider under their own privacy and security policies.

We use the data we collect exclusively to:

• Provide, operate and improve the Sorted service
• Transcribe your voice notes and generate professional invoice and quote documents
• Store and retrieve your business details so they appear correctly on your documents
• Track your credit balance and process bundle purchases
• Send you service-related notifications via WhatsApp, including invoice confirmations, credit balance reminders, and payment follow-up nudges
• Respond to support requests you send us
• Comply with applicable South African law, including SARS record-keeping requirements

We do not use your data for advertising purposes. We do not sell, rent or share your personal data with any third party for their own marketing or commercial purposes.

We retain your data for as long as your account is active and for a reasonable period thereafter to allow you to retrieve your records. Invoice and financial records are retained for a minimum of five years in line with SARS record-keeping requirements.

You may request deletion of your account and associated data at any time. Where we are legally required to retain certain records, we will retain only what the law requires and delete everything else.

Under the Protection of Personal Information Act (POPIA) and applicable South African law, you have the right to:

• Know what personal information we hold about you
• Request access to your personal information
• Request correction of inaccurate or incomplete information
• Request deletion of your personal information, subject to our legal retention obligations
• Object to the processing of your personal information in certain circumstances

To exercise any of these rights, contact us using the details in section 07. We will respond within a reasonable time and at no charge to you.

We may update this privacy policy from time to time to reflect changes in our practices, the service, or applicable law. When we make material changes, we will notify you via WhatsApp before the changes take effect. The "Last updated" date at the top of this page indicates when the policy was last revised.

Continued use of the Sorted service after any changes constitutes your acceptance of the updated policy.
